How to hide recipients while sending multiple emails in Outlook

Outlook is one of the most popular mailing and organising clients across the world, and this is primarily because of its ability to send out mass emails.

In the world of business, this can come in handy. Let’s say you wish to send out information about a new and exciting product that your company has come up with, and you want to send it out to a large number of people at the same time. It’s far easier to send the message to people on your mailing list all at once – But how do you do that while ensuring that none of the recipients know that it’s a mass message?

Hide email addresses on an Outlook distribution list

In order to send out mass emails without people knowing that it’s a mass email, you’ll want to hide the email addresses on the distribution list. You can do this by:

  1. Open Outlook and create a new email.
  2. Click on Options
  3. Click on BCC
  4. You can now add your addresses to the BCC section. Recipients that are added here will be “blind” to one another.

What does BCC stand for?

BCC, standing for blind carbon copy, denotes that the sender’s message keeps recipients blind to one another. They won’t know that the same message has been sent to other people, hence the “blind”.

BCC is the opposite of CC, which stands for Carbon Copy. With Carbon Copy, each person that receives your message will be able to see that the same message has been delivered to others. That’s because their email addresses will be prominently displayed in the message.

If you want to be able to  hide recipients while sending multiple emails in Outlook, particularly if you’re part of a business that sends emails to multiple people on a daily basis, you’re best to use the ‘BCC’ function compared to the ‘CC’ function.

Why use BCC?

There are a couple of reasons why you may have decided to use BCC when sending an email to multiple recipients. For one thing, doing so is important for security reasons – You don’t want to expose everyone’s email addresses to complete strangers.

Another reason for hiding recipients is because people respond better when there is the perception of personalization. If someone sees that the sender has sent the message to a hundred other people, for example, they may react negatively or be less inclined to respond.

Why it’s important to include signatures in your Outlook emails

Personalization is very important in email marketing. It’s one way to elicit positive responses to your message, and evidence shows that personalized messages achieve a better CTR than impersonal ones.

While using BCC can be beneficial to creating a more personalised connection with those your emailing, email signatures are another way through which you can get the most out of your emails. Whether they’re marketing or other type of emails, an email signature not only adds credibility to your message, but also provides important and useful information to your recipients.

If we go back to the example of a business that has come up with a new product. If you own such a business, you may have decided that one way of spreading the message is through the use of email marketing. But when someone opens your message, what is there to promote you as a brand? What can you do to increase your visibility? How do you give them alternative ways of getting in touch?

These are all questions that you can answer using email signatures.
