How to Enable Tagging in Outlook

Do you wish to find out how to enable tagging in Outlook?  Tagging in Outlook is similar to the ‘mentions’ feature that’s so common on social media, and can be hugely beneficial when sending emails to multiple people.

How to use tagging in Outlook

If you’ve ever wondered how to use mentions in Outlook and tag someone in an email, you can:

  1. Open Outlook and create a new message.
  2. Type your message
  3. Type the ‘@’ symbol and choose an email address from the list. Allow it to populate in the email with that full email address to tag someone.
  4. You can add as many people as you wish. When you add an address this way, it is automatically upended to the To section of the email.

Why would you use this feature?

The tagging process is very simple to do – But how is it beneficial to businesses?

Mentions benefit emails as they grab the attention of specified individuals within a given message. Let’s say you are writing an email to your Sales department. Somewhere within that message, you may wish to tag your Finance department. That’s where tagging becomes useful.

This feature also simplifies the process of writing your messages. This can come in handy in the event that you produce a lot of emails every day. In that case, it’s faster to simply tag a person in the body of the text rather than typing out their addresses in the To section.

Filter your inbox to see only the messages where you were mentioned

Tagging is not only useful when sending messages – You can also use it on messages that you have received. In today’s world, it’s not uncommon for some people to receive hundreds of business emails per day, so how are you going to know which messages are important and which ones are not?

The solution is to search for messages where you were mentioned with the ‘@’ mention. When you receive an overwhelming number of messages, you can filter them using tagging to find what’s relevant and highest priority. To do that, simply:

  1. Go to your inbox in Outlook.
  2. Click on the sort drop-down
  3. Select Mentioned Mail
  4. Now you will see only the messages where you were tagged.

You can only tag people who are already in your address book

Using tagging can be a fun and fancy way of directing your messages to the right people, but we need to point out one thing; it only works if a person is already in your address book.

Someone will be in your address book if you have sent or received correspondence from that person in the past. If you wish to send an email to a completely new person, you will not be able to use this feature. You need to type their full address to deliver the message to them, and from there you can use the ‘@’ feature moving forward.
